Stay Organized: Managing Your Slides Visually
When you’re working on a small slideshow, it’s easy to keep everything straight. Ten slides? No problem.
However, once you reach 50, 100, or even 300+ slides, things can quickly become disorganized.
Photopia includes a few simple organizational tools that can help you stay visually organized while you work. With flags, clear slide names, and (for Director users) sequences, you can turn even the largest slideshow into something clean, searchable, and stress-free.

Flagging Slides
Think of flags like sticky notes for your timeline. They’re perfect for marking slides you want to come back to later, rework or replace, or double-check before exporting.
Instead of trying to remember where something is, just flag it and move on. Later, you can instantly spot those slides visually without slowing down your workflow.
Adding a Flag to a Slide
The easiest way to add a flag to a slide is to use the keyboard shortcut Ctrl/Cmd + F. The same shortcut will also remove the flag. You can select multiple slides at once and flag them all with a simple keyboard stroke.
You can also find these Flag options under the right-click for any slide:
Renaming Slides
“Slide 1, Slide 2, Slide 3…” works until it really doesn’t. Once your slideshow grows, default names become nearly useless. Renaming slides gives you instant clarity.
There are two easy ways to rename a Slide: under the right-click for any slide, or in the Slide Settings in the “Name” text field:
Being able to scan your slide list visually and immediately know what everything is can be a game-changer.
It may feel like an extra step, but it saves tons of time when rearranging slides, replacing photos, or revisiting old projects.
Rule of thumb:
If you have to open a slide to remember what it contains, rename it.
(Director Only) Combining Slides into Sequences
If you’re using Director, Sequences are your secret weapon for visual organization. Sequences let you group multiple slides into collapsible sections inside your slideshow.
Sequences can be useful for larger or more complex projects. You can arrange slides into visual chapters relevant to your unique show, such as by song, event, or client revision.
To create a sequence, select as many adjacent slides as you want to include in the collapsible sequence. Then, right-click on any slide to access the sequence options.
Instead of scrolling through 200 individual slides, you might see:
- Intro (Slides 1-5)
- Getting Ready (Slides 6-54)
- Ceremony (Slides 55-103)
- Reception (Slides 104-164)
- Closing (Slides 165-170)
Clean. Simple. Manageable.
And the best part? You can easily expand and collapse sections by double-clicking the green Sequence marker so that you can work on each section.
